PotatoRun.com ("we," "us," or "the Platform") provides a peer-to-peer platform for asset (space, equipment, instructor time, etc) rentals and membership management. Because we are based in Alberta, Canada, we are committed to protecting your personal information in accordance with the Personal Information Protection Act (PIPA). This policy explains how we collect, use, and safeguard your data.
2. Information We Collect
We collect only the information necessary to provide our services and ensure a safe platform:
- Account Data: Your name and account email address used for secure login and authentication (including SSO data from Google).
- Booking Contact Data: A separate email address and phone number provided by you to facilitate rental communications.
- Transaction History: Records of assets you have listed, rented, or inquired about.
- Payment Data: We do not store your payment card details or banking information. All payment processing is handled by Stripe. We only store a reference identifier linked to your Stripe account to facilitate payment and subscription management through Stripe.
- Technical Data: IP addresses and device information used for fraud prevention and security monitoring.
3. Public Display & Sharing of Information
By using this Platform, you acknowledge that certain information must be shared to facilitate transactions:
- To Other Users: Once a booking is initiated or confirmed, your Booking Contact Data (Email and Phone Number) will be displayed to the other party to coordinate the rental.
- Public Listings: Your username and general asset location (not exact address until booked) are visible to anyone browsing the Platform.
- Service Providers: We share data with our managed database providers and payment processors. These parties are contractually obligated to protect your data.
4. Asset Monitoring & GPS (Standard Disclosure)
PotatoRun.com does not provide or manage tracking hardware. However, it is a standard practice for Owners on this platform to equip their assets with GPS trackers, telematics, or other monitoring devices for theft prevention and insurance purposes.
Assumption of Tracking: As a Renter, you should assume that any asset rented through the Platform may be tracked by the Owner.
Owner Obligations: Owners are required to use tracking data solely for asset protection and are strictly prohibited from using such data to infringe upon Renter privacy.
5. Data Security & Storage
- Encryption: All personal data is stored in a managed database that is encrypted at rest using industry-standard AES-256 encryption.
- International Transfers: Your data may be stored on servers located outside of Canada (e.g., in the United States). While outside of Canada, your data is subject to the laws of that jurisdiction and may be accessible to foreign legal authorities.
- Retention: We retain financial and transaction records for 7 years to comply with Canadian tax laws. We delete or anonymize account data upon request, provided no active disputes or legal holds exist.
6. Your Rights
Under Alberta's PIPA and global regulations, you have the right to:
- Access: Request a copy of the personal information we hold about you.
- Correction: Ask us to correct inaccurate or incomplete information.
- Withdrawal of Consent: You may close your account at any time, which withdraws your consent for future data collection.
7. Mandatory Breach Notification
In the event of a security breach involving your personal information that poses a real risk of significant harm, we will notify you and the Office of the Information and Privacy Commissioner of Alberta (OIPC) as required by law.
